Instructions for Accessing Hospital Specific Administrative Data Reports
The first project-related hospital-specific Administrative Data Reports were distributed via QualityNet Exchange during the period August 18-23, 2006. These reports included discharge data through the 2nd quarter of fiscal year 2006. Subsequent report distribution will follow a quarterly schedule throughout the life cycle of the project.
The quarterly data reports may be found in the QualityNet Exchange inbox of QNET administrators for each New York State short-term acute care hospital. To access the quarterly reports in QualityNet Exchange, please visit www.qualitynet.org and log in.
To download the quarterly reports from a QNET Exchange inbox, please follow these steps:
- After logging in to QNET Exchange, go to the Section labeled "File Exchange & Data Upload" and click on "File Exchange and Search (Inbox\Outbox)".
- Go to the "My Inbox" section and click on "Show New Inbox Files". In the middle of the screen under "New Inbox Files" is a list of all files sent to your inbox over the last seven days that have not yet been downloaded. This is the default view. If there is a listing for a quarterly administrative data report (e.g. 330xxx_NY_SP_Q2FY2006_hospitalname.xls), proceed to the next step to continue the download process. If not, please see "File Exchange Search" at the end of these instructions before proceeding.
- Under "New Inbox Files" in the "Date Uploaded" column, click the checkbox next to the quarterly report you wish to download.
- Go to the "File Exchange Tools" section and click on "Download to One Folder".
- A Windows Explorer screen should appear, allowing you to navigate to a drive and folder and choose a file name for the report about to be downloaded. Once you click on the "Save" button, downloading will begin.
- Once the download process is complete, you can either use Windows Explorer to go to the drive and folder you chose in Step 5 to retrieve and open the downloaded report, or open Excel and use the "Open" option under the "File" menu item to find and open the file in Excel.
- File Exchange Search - If there is no quarterly report listing in the "New Inbox Files", there is no new quarterly report to download or the most recent quarterly report was sent more than seven days ago and has not yet been downloaded. In the latter case, it will be necessary to go to the section "File Exchange Search", set the beginning and ending dates under "File(s) sent between:" to extend to a time period long enough to capture reports sent more than seven days ago (it is probably best to set the criteria to capture reports that have been sent to your inbox for at least the last month or two) and set the criteria in the "Search" box to "Inbox New". After clicking on the "Search" button, check to see if there is any quarterly report listing under "New Inbox Files". If there is, proceed to the next step to continue the download process. If there is still no quarterly report listing, it is reasonable to assume that you have downloaded all quarterly reports previously sent.
